After months of meetings, a transaction is often marked by a meal. The date may be settled at short notice, yet everyone expects the occasion to run without needing their attention. When I am asked to arrange a closing dinner in Madrid, I first establish who will attend, how much time is available and who needs to be free to concentrate on the conversation.
What matters at a closing dinner in Madrid
This is neither an ordinary business lunch nor a conventional celebration. It may be the first time both sides have spoken without documents between them. The service should never cut across the conversation. The food should sit lightly, and the room must allow people to speak privately.
The person arranging it, often from a law firm, investment fund or management team, usually has enough to deal with already. One point of contact and no unnecessary decisions are the sensible approach.
At the office, a law firm or in a private dining room
Even a restaurant with a private dining room shares entrances, staff and ambient noise with other guests. At either party’s premises or in an office, access, privacy and timing can be managed more closely. The trade-off is that the preparation space, table setup and clearing away need to be planned beforehand.
In that setting, I deal with one contact and agree the scope of service in writing, so office staff do not need to intervene. The same principles apply to a client lunch for a law firm in Madrid, a private banking office or a family office.
At a transaction closing, service becomes noticeable only when something goes wrong.

The room is ready before guests arrive.
Timing: when the date is settled late
Transactions determine their own timetable. A lunch date may be confirmed only days beforehand, or shift with completion. If you can outline a likely date, guest numbers and location in writing, I can assess whether the service is feasible and respond promptly when the date is fixed.
It is also worth choosing food that will remain at its best if proceedings overrun. This is one of my first considerations: dishes that can wait without suffering.
Guests arriving from abroad
International guests are common at these meetings. Allergies and dietary requirements, including medical or religious restrictions, need to be understood in advance, along with preferences that guests may not volunteer. None of this should become a conversation at the table.
Where there are several restrictions, I develop the menu from the outset so that no guest is visibly singled out with a different dish.

A quiet setting for the conversation.
Format and pricing
For corporate groups, I offer Gabinete, the fixed-fee format for corporate groups, with pricing bands based on guest numbers. It makes the cost clear before a decision is made. Where the occasion calls for a different arrangement, I prepare a separate proposal. Further information is available on my business hospitality service page.
For meetings held at the office in the morning or at lunchtime, my articles on corporate lunches in the office and executive breakfasts may also help. For anyone seeking a private chef for businesses in Madrid, the principle is the same: one contact and service that stays in the background.
Frequently asked questions
Can this be arranged at a few days’ notice?
It depends on the date and format. If you share the likely arrangements, I can quickly assess whether it is feasible.
Where can the meal take place?
At either party’s premises, in an office, a private room or a residence. I check the space, access and service route in advance.
How many guests is the service intended for?
Gabinete is intended for corporate groups, with fixed fees based on the number attending. Larger groups and other formats require a separate proposal.
How are guests’ dietary requirements handled?
Please share them in advance. I review them before confirming the menu, aiming for a coherent table where nobody stands out because of their dish.
What information do you need to provide a quotation?
The likely date, timing, approximate guest count, location and any known dietary restrictions. I can then prepare a proposal with a defined scope.
